Refund &cancellation policy
What you get back, when, and what we keep — stated plainly rather than buried.
Template — not yet reviewed
This page is a starting point drafted against Indian DPDP Act 2023 and GDPR expectations. It must be reviewed by a qualified lawyer and have company specifics filled in before launch. Set NEXT_PUBLIC_LEGAL_REVIEWED=true to remove this notice.
1. The principle
You should not pay for work that has not been done. Equally, we should be paid for work that has. Everything below follows from those two sentences, and where the policy is genuinely unfavourable to you, it says so rather than hiding behind a clause.
This policy applies alongside your signed agreement. Where a signed Statement of Work says something different, that agreement wins.
2. Custom development projects
Before work starts
An advance paid before the kick-off date is refundable in full, less any discovery work already performed at the agreed hourly rate. If we have not started, you get everything back.
Fixed-price engagements, after work starts
Fixed-price work is billed against milestones. On cancellation:
- Completed and accepted milestones are non-refundable
- The milestone in progress is charged pro-rata on work genuinely completed, evidenced by commits and the shared board
- Anything paid beyond that is refunded within 15 business days
- You receive everything produced up to that point — code, designs, documentation — under the same full IP transfer as a completed project
We do not withhold deliverables you have paid for as leverage in a cancellation. That is worth stating explicitly because it is not universal in this industry.
Dedicated team and retainer engagements
These run on a 30-day notice period from either side. Fees for the notice period are payable because we hold the team for you and cannot reassign them instantly. Any prepaid amount beyond the notice period is refunded in full.
We can also pause rather than cancel — held for up to 60 days at 25% of the monthly rate, which is usually cheaper for you than cancelling and re-onboarding later.
3. Product subscriptions
For the SaaS products listed under Products:
- 14-day refund window from first payment on a new subscription — cancel within 14 days and receive a full refund, no reason required
- After 14 days, monthly subscriptions can be cancelled any time and run to the end of the paid period. Part-months are not refunded.
- Annual subscriptions cancelled mid-term are refunded pro-rata for complete unused months, less any discount you received for paying annually
- One-time perpetual licences are non-refundable after the software has been delivered and deployed, because it cannot be returned
Implementation, data-migration and training fees are for work performed and are not refundable once that work is done.
4. Training courses
- More than 14 days before the batch starts — full refund
- 7 to 14 days before — 50% refund, or full transfer to a later batch at no charge
- Less than 7 days before, or after the batch starts — no refund, because the seat cannot be resold at that point
- If we cancel or reschedule a batch — full refund, or transfer, entirely your choice
One transfer between batches is free. Course materials already downloaded are not deducted from a refund.
5. Events and webinars
Free events require no payment and no refund; simply do not attend, though telling us helps somebody on the waiting list. Paid workshops follow the training rules above.
If we cancel an event, paid registrations are refunded in full within 10 business days.
6. What is never refundable
Stated plainly so there is no argument later:
- Third-party costs we paid on your behalf — cloud, domains, licences, app-store fees, paid APIs
- Payment-gateway charges on the original transaction
- Work completed and accepted by you in writing
- Time spent on scope you later decided you did not want, where that scope was agreed at the time
7. When we will refund beyond this policy
If we did not deliver what we agreed, missed committed dates without a reason we can defend, or delivered work that does not meet the agreed specification and we cannot correct it in a reasonable time — you get your money back for that portion, regardless of the milestone position.
A policy that only protects the seller is not a policy worth publishing.
8. How to request a refund
- Email contact@sedwis.com with your invoice number and what you are asking for
- We acknowledge within 2 business days
- We respond with a decision and the calculation behind it within 7 business days
- Approved refunds are processed within 15 business days to the original payment method
Bank processing after that is outside our control and typically adds 3–7 days for domestic transfers and up to 15 for international.
9. Disputes
If you disagree with a decision, escalate to the Managing Director at the same address. If it still cannot be resolved, the dispute resolution clause in your signed agreement applies. Failing that, the courts at Noida, Uttar Pradesh have jurisdiction, and Indian law governs.
